Quick guide on creating appointments

The scheduling tab within your Dashboard allows you to schedule appointments for point of care tests, vaccines, patient consultations and more!

Calendars

To get started with appointment scheduling, you’ll first need to establish a calendar.

  • Click over to the ‘Appointments’ tab, navigate to ‘Active Appointment Types’ in the bottom left hand corner, and select ‘Manage Appointment Types’.

  • Select the type of appointment you want to offer, then configure the booking details by selecting whether you want to display the appointment calendar on your website, the length of each appointment, and which calendar you want to use.

    • To Customize a calendar select ‘Create New Calendar’ on the left hand side of the ‘Appointments’ tab, create a name for your calendar, and select the days and times you’d like to have appointments available.

    • You can also customize the reminder texts that are sent to patients 24 hours before their appointment and 1 hour before their appointment.

There are a few different ways to schedule appointments:

  • Bulk message your patients with a link to your calendar so they can schedule their own appointments

    • Choose from one of our pre-created workflows or create your own based on the appointments you want to schedule. You can include a link to your scheduler by going into your Settings > Appointment Scheduling > and copy the link at the top of the page.

  • Patients can schedule their appointments on your website. You can enable and disable this feature at any point by going to ‘Manage Appointment Types’, find the appointment you’d like to update, and select ‘Edit’. From there you can toggle ‘Available On Web’ on and off.

  • You can manually add an appointment within the Dashboard under the ‘Appointments’ tab

Scheduled Appointments

As soon as patients begin scheduling appointments, you’ll see them listed in the Appointments tab, with their first/last name, date of birth, phone number, and appointment type/time for easy reference.

If a patient contacts you and needs to update their appointment, you can easily ‘edit’ the date and time, or delete the appointment if they will no longer be coming in.

If you need to print out your appointment list, you can use the keyboard shortcut ‘CTL-P’ and your appointments list for the day will format for printing.
